Genesis is seeking an Executive Director

 

Genesis Spiritual Life and Conference Center, located in Westfield, MA, has an immediate opening for a full-time experienced Executive Director who is a visionary leader with a depth of spiritual understanding and experience grounded in the Roman Catholic faith. The role of the Executive Director is to bring to fruition the mission and vision through the oversight, management, and development of retreat programming, with excellent management skills together with a passion for hospitality in a setting that promotes healing of mind, body, and spirit.

Genesis, a non-profit, 501(c)(3) organization, established in 1976 is a retreat and conference center founded by the Sisters of Providence of Holyoke, MA. and is beautifully situated on 19.5 acres of peaceful wooded property. In 2016 Genesis was certified as Providence Arboretum and includes vegetable gardens, spiritual reflection points such as the Compassionate Curve pathway, a labyrinth, and a peace pole.

This Retreat Center is open year-round, welcoming individuals and groups of women and men of all faith traditions who seek time and space for reflection and a deeper relationship with God. It offers private and directed retreats, various sponsored and hosted day and overnight programs, and has 30 overnight guest rooms and two dining rooms. A free-standing Carriage House provides several conference and meeting rooms that can accommodate approximately 75 to 100 people.

We seek a qualified leader who is able to be a spokesperson for this faith-based Center that is rooted in the Roman Catholic faith. This person is a consensus builder able to work effectively with staff, volunteers, and Board members. Major areas of responsibility include: Spiritual Leadership / Culture: the ability to integrate the Mission and Core Values of Genesis at all levels of the organization; Management/ Finance – capacity to work with the Board and staff to plan for the future vitality and sustainability of the Center as well as oversee operational departments – finance, marketing, dietary, housekeeping maintenance and grounds; and ability to work with the Program Director in designing and implementing innovative and meaningful spiritual programs and experiences in an atmosphere of sacred space. Demonstrated general knowledge and skills in human resources is a plus. Some evening and weekend requirements.

The ideal candidate will have a degree in theology, contemporary spirituality, religious studies, pastoral ministry, or equivalent as well as relevant management experience. Preference will be given to candidates with experience with spiritual retreat/conference center management.

Genesis Spiritual Life and Conference Center, located in Westfield, MA, has an immediate opening for a full-time experienced Program Director.  We are seeking a person with depth of spiritual understanding and experience who is grounded in the Roman Catholic faith, to bring to fruition the mission and vision through the oversight, management and development of retreat programming.

Our ideal candidate will have experience working in a spiritual and/or nonprofit setting, previous experience creating and executing various types of programming with positive results, and training and experience as a spiritual guide (director) and/or willingness to complete a training program. A graduate degree in theology (Masters of Divinity, contemporary spirituality, religious studies, pastoral ministry, theology, or equivalent) is preferred.

Part-Time Administrative Assistant

Genesis Spiritual Life and Conference Center seeks a part-time administrative assistant to support Genesis programs, hosted events, and special events, as well as ensure that the overall office runs efficiently and effectively. 

Must possess phone and in-person hospitality, excellent written and verbal communication, experience with various office software and equipment, ability to write reports and presentations, and a detail-oriented team player with outstanding interpersonal skills.

In all aspects of the role, you are able to seamlessly integrate and communicate the Genesis mission of revealing an environment that reveals the love of God for all creation and brings hope and healing to all who come. 

Anticipated hours: 24-28 hours/week Flexible schedule to accommodate evenings and weekends as needed.

Salary range:  $15.00 - $17.00

Summary: Working closely with the Marketing & Program Manager and the Registrar & Events Coordinator, the Administrative Assistant will provide administrative support for Genesis programs, hosted events and special events, as well as ensure that the overall office runs efficiently and effectively.

 Responsibilities:  Administrative Duties:

    • Answering or transferring phone calls, and responding to general inquires
    • Arranging staff meetings
    • Maintaining the office calendar for staff schedules and vacations
    • Writing memos, correspondence, invoices, receipts, spreadsheets, and other reports as needed
    • Assisting in keeping the office database and filing system up to date and organized
    • Purchasing office supplies and working with vendors
    • Sorting and delivering all mail and faxes
    • Participating in and preparing meeting minutes for weekly Program Working Group meeting

 Program Administration:

  • Processing Genesis Program and Retreat registrations in Salesforce including email, mail, and phone registrations
  • Process registration payments
  • Prepare and provide to bookkeeper batch reports
  • Work with appropriate staff members to reconcile accounts with the bookkeeper
  • Follow up on with participants for payments not received
  • Track Program and Retreat actual income and projections to support budgeting and reporting
  • Assist in creating check-in lists
  • Prepare stipend check requests for presenters and process refund requests for cancellations
  • When required, welcome guests, provide orientation and check-in on both weekdays and weekends (an appropriate notice will be provided)
  • Coordinating scholarship / financial aid requests
  • Providing on-site and Zoom program support, as needed
  • Fundraising and Event Administration:

Processing financial donations:

  • Inputting information into Salesforce
  • Creating and sending financial donation tax receipts/thank you letters for Executive Director's signature
  • Filing letters for gifts over $200 for the auditor
  • Creating lists from Salesforce and other mechanisms for donors, volunteers, guest solicitation, retention, and recognition

Wine Taste Fundraising Event:

  • Attending Wine Taste organizing meetings, following up on administrative details as needed
  • Formatting and printing letters to Wine Taste potential sponsors, raffle/auction donors, and guests
  • Tracking responses, entering into Salesforce, sharing information with Bookkeeper, and sending acknowledgments
  • Coordinating raffle and auction prize details including solicitation, recognition, acknowledgment, and preparing items for night of the event

Providing staff support:

  • Administrative (letters and acknowledgments, attends meetings)
  • Logistical (volunteer coordination)
  • Hospitality (setup, and cleanup)
  • Assisting with Wine Taste week of event preparations and after event closing activities including assisting with setup, cleanup, creating and sending thank you letters, and general event resolution
  • Attending Wine Taste debrief meeting, making notes in preparation for the next year’s events

 Qualifications:

  • Excellent phone manner and in-person hospitality to all visitors
  • Ability to integrate and communicate the Genesis mission through behavior and dialog
  • Excellent written and verbal communication
  • Experience with various forms of office software and equipment
  • Able to write reports and presentations
  • Good interpersonal skills
  • Proficient in Microsoft Office Suite, especially Word, Excel and Outlook
  • Experience with database management, Salesforce preferred

Part-time Dining/Kitchen Associate

Genesis Spiritual Life and Conference seeks a part-time dining/kitchen associate to assist the head chef in creating an outstanding guest experience. Help support our culinary services ensuring guests enjoy a friendly and attentive dining experience.

Must possess a positive attitude and be a team player with good communication skills, both written and orally, with a sound understanding of the English language. Have a general knowledge of food and the operation of kitchen/dish room equipment. Be able to lift an average of 60 pounds without restrictions, bend and twist

In all aspects of the role, you are able to seamlessly integrate and communicate the Genesis mission of revealing an environment that reveals the love of God for all creation and brings hope and healing to all who come. 

Anticipated hours: 20 hours/week. Flexible schedule to accommodate evenings and weekends as needed.

Salary range: $14.25-$15.00

Summary: The Dining/Kitchen Associate assists with dining services and kitchen functions, focused on our guest’s experience.

Responsibilities (summary, not all-inclusive)

  • Food Service:
    • Greet Genesis dining guests with a friendly smile, anticipate and respond to needs
    • Serve guests as needed, gracefully and with sensitivity to their requests 
    • Check snack tables, program rooms, Fireplace, Dining, and Guild rooms and make sure that they are stocked, clean, and ready for guests
    • Deliver food to other spaces throughout Genesis for guests including the Carriage House, and Friendship Hall as needed           

Cleaning & preparing rooms:                                                

    • Prepare dining room for guests:
      • Wipe down chairs and clean when needed after meals
      • Wash and dry tables and placemats in the dining room
      • Reset tables for the next meal                                     
      • Vacuum rugs after each meal
      • Wash and refill sugar, salt, and pepper on each table
      • Wash dishes, silverware, serving dishes, and pots/pans in the dishwasher or back sink and put them away
      • Put food serving table away and set up tables for the next meal
      • Empty all trash and clean the kitchen floor
      • Check coffee machines, ensure filled adequately, clean, and supplies are available
      • Before leaving, make sure that all machines are turned off (lights, stoves, coffee machine, steam table, fans, coffee machine in the Fireplace room, etc.)
      • Work with housekeeping staff to ensure that dining rooms are thoroughly cleaned on a regular schedule including windows, windowsills, curtains, paintings, etc…                  
      • Write out the menu on the menu board for guests before each meal                                                                                        
  • Clean and monitor counter and filters on water dispenser in Carriage House hallway 
  • Assists in putting away food orders and deliveries as needed
  • Other duties as assigned

 Qualifications:

  • Good communication skills, both written and orally, with a sound understanding of the English language
